Last night, our team was working late in the warehouse to inspect and prep a repeat order for a valued Indian customer. As you can see from our packaging process, we verify everything. Due to the massive quantity of this specific shipment, the factory workers made a counting error, and I discovered that exactly five items were missing from the batch.

If a sourcing agent fails to conduct thorough inspections, intentionally conceals the facts, or delays updates, the client suffers financial losses. That is never what we want to see when handling your supply chain management.

Instead of hiding the issue, we immediately took proactive steps to protect our client.

Our Immediate Action Plan for the Client

Problems and factory errors are not terrible; what matters is facing every client with absolute honesty and sincerity. In this situation, I promptly took the following actions:

  1. Verified and Documented: I repeatedly inspected the goods, kept detailed records, and took photos and videos as solid proof before moving the cartons onto our trolleys.
  2. Transparent Communication: I immediately contacted the client to inform them of the exact situation.
  3. Proactive Solutions: We actively discussed refund options and alternative solutions. I truly appreciate the client’s patience and willingness to collaborate.
  4. Freight Cost Protection: I promptly informed the client’s freight forwarding company about the missing items. Since the shortage reduces the total weight and volume, failing to update the forwarder would have resulted in the client overpaying for shipping!

In my many years of experience in the import-export trade, I have learned that the key to success is always considering how to improve service from the client’s perspective. We are deeply grateful to this Indian customer for their continued trust.
